Job Description / Duties

The University of Toronto Scarborough has been a leader in Co-operative education, combining academic study with alternating work terms, for 40 years. Co-operative education gives students an opportunity to test skills learned in the classroom, and to expand their knowledge through related work experience. The Arts and Science Co-op Office is responsible for preparing students in over 25 unique program areas to compete for paid co-op work opportunities. The Office also is responsible for engaging industry partners who provide these work terms. A coordinated effort among the stakeholders of student, employer, and university Co-op programming contributes to the development of well-qualified graduates who are prepared to assume a productive role in society. With a commitment to equity, diversity and inclusion, the department works closely with campus and employer partners to support students as they work to achieve their academic and Co-op aspirations.

Under general supervision of the Manager, Operations, the incumbent provides administrative support for job postings, applications, interviews, and matches to ensure efficient operation of the department. The incumbent will run reports using the in house databases; review new functionalities of the databases with the Manager; and troubleshoot database issues. The incumbent is responsible for communicating with students and employers on a regular basis with respect to co-op posting processes, co-op job interviews, site visits and other related matters. Other duties include greeting and appropriately referring all front line traffic; performing accurate data entry, monitoring and updating the departmental website and overall management of the departmental databases.

Qualifications / Required Skills

Education:
Two year college diploma or equivalent combination of education and experience. Some formal technical training related to databases or customer relationship management system (CRM) such as Symplicity, Orbis or Saleforce is preferred.

Experience:
Minimum 2 years of experience in an administrative role with a strong focus on working with databases, including evaluation and testing functionality. Experience working with large data sets in Simplicity, Orbis, Salesforce or similar database system is required.

Skills:
Proficiency with Microsoft Office Suite with advanced knowledge of Excel.

Other:
Attention to detail. Should possess highly-developed organizational skills and an excellent knowledge of office practices. Expected to show initiative and be able to work with support, but minimal supervision. Must have superlative interpersonal and communication skills with a commitment to service excellence. The incumbent must also be able to work well with others in a team environment, have the ability to multi-task, be flexible and maintain a high level of reliability in all work performed. Related experience in a post-secondary environment is an asset.

Salary: $47,737 with an annual step progression to a maximum of $61,049
