Job Description / Duties

Job Summary

The Manager, UBC Sauder Co-op Program is responsible for the development, implementation, management and evaluation of the Co-operative education program in the UBC Sauder School of Business. Responsibilities include recruiting students, evaluating their qualifications for admission into the program, coaching students one-on-one and in groups to support their job search and to prepare for success in their work terms, monitoring students work terms and addressing any workplace issues that arise, providing evaluation and analysis of work term and student success each term, collaborating with other Co-op professionals at UBC and across Canada, working with faculty members, conducting strategies to engage employers, and performing the day-to-day administration of the program.

Organizational Status

Reports to the Associate Director, UBC Sauder Co-op Program. The Manager is responsible for providing career programming and on-the-job support to students involved in the Co-op program, and contacting industry representatives and liaising with faculty members. Supervises permanent and student staff positions including hiring, discipline, evaluation, and termination.

Work Performed

  1. Designs and implements recruitment strategies to admit new students to the program. Determines appropriate timelines, develops marketing strategies, designs PowerPoint presentations, delivers information sessions, recruits and advises senior Co-op students to present at information sessions, designs and adapts student application form as needed and oversees intake interview process.
  2. Evaluates students for admission into the UBC Sauder Co-op Program.
  3. Evaluates admitted students' qualifications in order to suggest relevant job postings and/or employers with the goal of ensuring successful Co-op work terms.
  4. Oversees the design, content and delivery of pre-employment training through individual meetings and in groups. This includes resume and cover letter review, interview preparation, and succeeding in the workplace, among other job search topics.
  5. Evaluates the effectiveness of the program, recommends improvements and implements necessary changes.
  6. Co-plans and executes Co-op career professional development conferences and/or workshops to prepare students for job applications and interviews. The events may include key-note speakers, networking lunch with employers, alumni and senior Co-op students, interview clinics and panels.
  7. Partners with other UBC departments to deliver special workshops and processes for international students to obtain their Co-op work permits.
  8. Holds regular office hours for career and employment coaching to prepare undergraduate students to prepare for applying to Co-op positions and successful transition to work.
  9. Conducts on-site visits and phone call check-ins to monitor and evaluate student performance in the workplace and helps resolve performance issues or employment issues. This includes problem solving, mediating and addressing any workplace concerns or issues related to employee discipline, employee rights (including harassment, employment equity, employment standards), intellectual property rights, confidentiality concerns, etc. raised by students and/or employers. Makes recommendations to the Associate Director regarding students' status in the program as a result of workplace issues.
  10. Gathers feedback from site visits to make informed decisions about progress and changes to the program. Makes recommendations to the Associate Director based on feedback.
  11. Establishes and maintains ongoing relationships with employers. Participates in employment related events. Advises employers on requirements and availability of funding options for Co-op work terms.
  12. Advises the Associate Director in the development and management of the budget for UBC Sauder Co-op Program making recommendations related to staff hiring, student recruitment, marketing and overall needs. Reviews reports on student placements for submission to outside agencies.
  13. Oversees recruitment of new full-time, permanent staff, as well as supervision and delegation of work, discipline, evaluation and termination.
  14. Oversees recruitment of student Co-op workers as well as delegation of tasks, supervision and evaluation.
  15. Secures industry employers through designing and implementing marketing plans to promote the program locally, nationally and internationally. Avenues of contact include: phone, email, in person, presentations and networking with
    professional associations.
  16. Performs market research to identify and target employers for partnerships with UBC Sauder School of Business.
  17. Advises and guides employers in developing challenging and appropriate Co-op opportunities, reviews and approves employer job postings to ensure that they meet UBC Sauder Co-op Program guidelines. Writes/edits job descriptions on behalf of employers when requested. 
  18. Works with potential employers in assessing their needs, and where need/interest exists, integrating company into the UBC Sauder School of Business and campus-wide programs and events, linking to faculty, providing strategic targeted recruitment planning and acting as a resource.
  19. Works on selected UBC Sauder Business Career Centre initiatives in sub-committees.
  20. Performs other related duties as required.

Supervision Received

Reports to the Associate Director, UBC Sauder Co-op Program. Work subject to review in relation to program goals.

Supervision Given

Supervises the work of the Co-op Program Assistant. Also supervises other staff working for the program, including students. Co-op Managers are also authorized to remove Co-op students from the workplace for poor performance.

Consequence of Error/Judgement

Independently oversees strategic planning and operational procedures for the program within the constraints of the program's administrative framework. Exercises individual judgment in organizing work, dealing with employers, students and faculty and other external agencies. Incorrect decisions would adversely affect the reputation of the UBC Sauder Co-op Program which would prevent it from achieving its targets. The reputation of other UBC Co-op programs and of the Faculty and the University generally would also be harmed by poor decisions. Failure to deliver effective and timely service to employers could result in a loss of working relationships between industry and the University. Failure to equip students for the workplace and to give sound advice could lead to problems during Co-op work terms

Qualifications / Required Skills

Undergraduate degree in a relevant discipline. Knowledge of and experience with Co-op programs, career coaching, project management/event planning, and/or business industry work experience are highly desired. Minimum of four years experience or the equivalent combination of education and experience. The successful applicant will have excellent interpersonal skills, organizational planning ability, teamwork, oral and written communication skills, and presentation skills. A passion for helping university students develop into responsible leaders and taking initiative to work independently as well as within a team is essential. Ability to act with tact, diplomacy and discretion. Travel is required at certain times of the year, so it would be beneficial to have access to a vehicle for local travel.

Salary: $61,840.00 (minimum) - $89,085.00 (maximum)
