Job Description / Duties


This position will be based out of the New Westminster and Coquitlam Campus Career Centers but may be required to work at other Douglas College sites and attend off campus events. A flexible schedule is required to accommodate evening work but typically start times will be between 8:30 am and 9:30 am.

Reporting to the Director, Business Development, the Coordinator, Career Centre Programs is responsible for the overall coordination, planning, and facilitation of assigned programs at the Douglas College Career Centre. Programs include but are not limited to: Co-operative Education Program, PBD Leaders Employment Support Program, Steer Your Career Program and Ready Set Co-op.
The Coordinator contributes to the College Strategic Plan by promoting Career Centre programs, internally and externally. This role is instrumental in, enabling students to act as ambassadors of the College, to continue to learn outside the classroom, and to find work experiences that are inspiring and relevant which will ultimately enhance their job seeking success once they have graduated. The Coordinator screens and prepares students for work terms and/or employment opportunities, and collaborates with the Director, Business Development to vet potential employers and work opportunities.

The Coordinator provides exceptional client-centered service to all stakeholder groups which is critical to the College’s reputation for developing employment-ready students.


1. Promotes Career Centre programs externally to employers, professional associations, and all levels of government
(a) researches and recommends to the Director of Business Development appropriate employer targets for student work terms and employment opportunities based on current labor market trends;
(b) evaluates employer suitability with regard to provincial and national Co-operative Education Program standards and Career Centre program objectives;
(c) posts employment opportunities on the Career Centre CRM, and/or DC Portal as appropriate;
(d) maintains regular contact with employers as required by assigned Career Centre programs;
(e) organizes and participates in a variety of on- and off-site networking opportunities to promote Douglas College, its students and Career Centre programs;
(f) participates as an active member in related professional associations as part of professional development and to represent Douglas College in these organizations as requested. These may include CACEE (Canadian Association of Career Educators and Employers), ACE (Association of Co-operative Education) and ACCE WIL (Accountability Council for Co-operative Education and Work-Integrated Learning);
(g) represents Douglas College, its students and Career Centre programs on selected industry and community associations, as requested.

2. Designs and delivers program information sessions, career development workshops and program-related recruiting events
(a) delivers program information sessions regarding Career Centre Programs;
(b) designs, develops, and delivers pre-employment workshops on job sourcing and networking, occupational research & career pathing, transferable skill identification, cover letter & resume creation, interview techniques, negotiating job offers, workplace expectations, safety and human rights;
(c) produces workshop and reference material to the Career Centre (CareerHUB) site using appropriate software applications;
(d) researches work strategies, current employment tools and theories to share with students;
(e) assists students one-on-one in mastering their career development skills.

3. Facilitates the application and work placement process for Career Centre programs
(a) reviews applications from students to ensure they meet the criteria to qualify for a Co-operative Education work term or employment opportunity;
(b) updates and maintains all databases and records, including but not limited to employers’ contacts, student records, work term records, student grades, correspondence, student coaching sessions, and job postings using Banner and the Career Centre CRM system as required for assigned program;
(c) liaises with the Registrar’s Office to ensure all Co-op courses are entered into Banner and made available for students’ registration each term;
(d) updates content for student information leaflets/web pages, employer and faculty handbooks to ensure currency;
(e) identifies student deficiencies and recommends options or strategies to meet identified deficiencies;
(f) coaches and assists students to find and apply to appropriate work term or employment opportunities;
(g) prepares the contracts and relevant documentation for Faculty Advisors for the Co-operative Education Program, as required;
(h) reviews Co-op work terms and/or employment opportunities to ensure they provide an experiential opportunity for students as mandated by the provincial accreditation body, Accountability Council of Cooperative Education – Work Integrated Learning (ACCE WIL), as required by program;
(i) maintains and reports statistical data to the provincial accreditation body, ACCE WIL;
(j) responds to and/or adjudicates complaints from students or employers regarding work terms or employment performance as appropriate;
(k) discretely manages confidential material and information.

4. Promotes Career Centre programs internally to faculty and students within Douglas College
(a) organizes student events and forums to promote Career Centre programs;
(b) liaises with Deans, Associate Deans, Chairs and Program Coordinators to promote Career Centre programs and to raise awareness and participation by students in these programs;
(c) attends Faculty and Department meetings and classroom visits to promote the benefits of participation in Career Centre programs – to students;
(d) provides orientation and liaison to faculty in support of their participation as Co-op Faculty Advisors;
(e) solicits students, faculty advisors, and employers to provide testimonials to be used in promotional material including the CareerHUB website and Douglas College public web site Career Centre and Co-op pages and DC Connect;
(f) works collaboratively with the College Marketing Department to prepare information on Career Centre programs for publications such as the College catalogue, College website, admissions handbook, brochures, information packages and promotional advertising.

5. Performs a variety of functions in support of Career Center programs
(a) prepares program reports for the Director, Business Development for use in developing analysis of program results and planning of future resource requirements;
(b) collaborates as a member of assigned accords to develop SOP’s related to Career Center procedures on campus as requested;
(c) develops accreditation proposals for new programs for the Co-operative Education accreditation body (ACCE WIL – Accreditation Council for Co-operative Education – Work Integrated Learning) as requested;
(d) completes required documentation for the re-accreditation proposals of existing programs for the Co-operative Education accreditation body (ACCE WIL), as requested.

6. Performs other related duties
(a) serves on relevant College committees as requested;
(b) works closely and collaboratively within the Career Centre team and (as required) the Douglas College Alumni Office to conceptualize and deliver student events.

Qualifications / Required Skills

A Bachelor’s degree from a recognized public post-secondary institution with a minimum of three years’ related work experience or an equivalent combination of education and experience. A Career Development Practitioners’ Certificate would be an asset.

• Demonstrated ability in coaching and program development in career management skills, especially in the post-secondary environment.
• Demonstrated ability in sales, marketing, and/or public relations, including social media.
• Knowledge of Canadian workplace practices, job search strategies, and labor market trends.
• Excellent interpersonal and cross-cultural communication skills including written and verbal fluency in the English language.
• Well-developed planning, coordinating and organizational skills. Able to work in a fast-paced environment.
• Demonstrated ability to develop, establish, and maintain excellent working relationships with employers, students, administrators, faculty, and staff.
• Ability to problem-solve, resolve conflict and manage challenging situations.
• Demonstrated ability to speak to and coach small and large groups in informal and formal settings.
• A working knowledge of database management systems such as Banner and Orbis would be an asset.
• A working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, MS 365).
• A demonstrated ability to:
* conduct interviews professionally and effectively with students, employers, faculty, staff and administrators;
* train and mentor others, as well as design training programs;
* exercise initiative within a team and promote a positive work environment;
* communicate courteously and effectively in writing, in person or on the telephone with staff, faculty, administrators and students;
* function effectively in an environment where professionalism, confidentiality and sensitivity are of primary importance;
* work independently with minimum supervision and considerable independence of action.
* demonstrates attention to detail, meet deadlines and to establish priorities;
* compose correspondence, reports, and promotional material with an emphasis on grammar, punctuation and writing skills;
* thrive in an environment where flexibility, initiative and accountability are required.
• Supervisory experience would be an asset.

Note: This position involves local travel, e.g. attendance at professional association meetings, Chamber of Commerce luncheons, etc. Some evening work may also be required.
